Committee-Program

Committee-Program

PURPOSE: Plan the programs for five (5) monthly luncheon meetings (October, November, February, March, and April).

TIME SENSITIVE: The program schedule must be finalized by August 1 and the schedule submitted to the President, Publicity Chair, and the Yearbook Committee.

When the chair submits the schedule to the President, Publicity, and Yearbook Committee, a report needs to be sent to the Treasurer before the first members’ meeting in September. If a program has not yet been totally solidified by the August 1 deadline, send as much information as is known about the proposed program to the Treasurer – program name, person’s name for check and amount of check.

The budget is $1500 for the year. Apply for a Manchester Cultural Council (MCC) grant when appropriate. The Massachusetts Cultural Council URL is

valid as of October 30, 2023. See addendum for more information about completing the MCC grant application.

Committee is responsible for scheduling, arranging, contracting, etc., with presenters. Provide necessary materials, props, introducing them at the meeting and getting a check from the Treasurer to pay them. A copy of the Program Contact follows.

At least one week prior to the Members’ meeting, a Program Committee member contacts First Parish Church Office Manager, Nancy Klebart at 978-526-7661, ext. 1 or office.fpchurch@verizon.net and either describes the Function Room set up needed for the upcoming program or prepares the Function Room template (image included on this page) and emails it the week before the scheduled Club meeting. The Office Manager will contact the Custodian with the information and/or you can email room set up to Custodian, Mark Jackson – mjmrclean@live.com.

Invite presenter/s to lunch and be their hostess. Check with the President to be made aware of the schedule of the meeting. The business meeting may be conducted first. If that is the case, let the presenter know to arrive around 12:30 p.m. In that way the presenter will be in time for lunch and does not have to sit through the Club’s business meeting.

Remember that the winter months may be cancelled for weather and plan accordingly.

Recommendation is to have at least 3 members. The President appoints the Chair.
